This privacy policy explains how Evagene (evagene.com) collects, uses, stores, and protects your personal data when you visit our marketing website. Evagene is a web-based pedigree management system for clinical genetics, currently in alpha development.
We are committed to being transparent about what data we collect and why. This policy is written in plain English wherever possible, whilst still covering the legal requirements under the UK GDPR, EU GDPR, UK Privacy and Electronic Communications Regulations (PECR), and the Australian Privacy Principles (APPs).
Evagene is developed independently. For the purposes of data protection law, Evagene is the data controller responsible for your personal data.
1. What Data We Collect
1.1 Waitlist Form Data
When you join the Evagene alpha waiting list, we collect the following personal data:
- Full name (required)
- Email address (required)
- Professional role (required)
- What excites you about Evagene (optional)
- Institution or organisation (optional)
- Country (optional)
This data is submitted to and stored in our CRM system (EngageBay) and is used to manage the alpha programme and communicate with you about Evagene.
1.2 Analytics and Tracking Data
When you consent to non-essential cookies, we collect analytics data through the following third-party services:
- Google Analytics (measurement ID: G-8GQLEPQ47C) — page views, referral sources, device and browser information, and approximate geographic location.
- Microsoft Clarity (project: wc26ock5ta) — session recordings, heatmaps, and anonymised interaction data to help us understand how visitors use the site.
- EngageBay (account: ro2mo08bbuj75m8i04puevk2su) — marketing automation, email open and click tracking, and visitor behaviour on our site.
These tools are only loaded after you give cookie consent. If you do not consent, no analytics scripts are loaded and no tracking data is collected.
1.3 Local Storage
We store two items in your browser's local storage. These are not cookies and do not track you:

2. How We Use Your Data
We use the data we collect for the following purposes:
- Alpha programme management — to process your waitlist application, communicate about the alpha programme, and grant access when available.

Under the Australian Privacy Principles, we collect personal information that is reasonably necessary for our functions and activities, and we notify you of the purposes of collection at the point of collection.

- If you accept, analytics and tracking scripts (Google Analytics, Microsoft Clarity, and EngageBay) are loaded.
- If you decline, no analytics or tracking scripts are loaded. Only essential local storage items (theme preference and your consent choice) are used.
You can change your cookie preferences at any time by clearing your browser's local storage for evagene.com, which will cause the consent banner to reappear on your next visit.
5. Third-Party Data Processors
We share your data with the following third-party service providers who process data on our behalf:

We do not sell your personal data to any third party.
6. International Data Transfers
Some of our third-party processors are based in the United States and other countries outside the United Kingdom, the European Economic Area, and Australia. When your data is transferred internationally, it may be subject to the data protection laws of those countries, which may differ from the laws of your jurisdiction.
Where data is transferred outside the UK or EEA, we rely on the safeguards provided by our third-party processors, which may include Standard Contractual Clauses, adequacy decisions, or other appropriate transfer mechanisms as recognised under applicable data protection law.

- Waitlist and CRM data — retained for the duration of the alpha programme and any subsequent relationship with you, unless you request deletion earlier.

- Local storage data — persists in your browser until you clear it manually.
When your data is no longer needed, we will securely delete or anonymise it.

10. Children's Privacy
Evagene is a professional tool designed for clinical genetics professionals. Our website and services are not directed at individuals under the age of 16. We do not knowingly collect personal data from children under 16. If we become aware that we have collected data from a child under 16, we will take steps to delete that data promptly. We may update this privacy policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors.
